Q: What is the purpose of SAFEMLS®?
A: SAFEMLS guards the MLS listing data, contact information, and membership information from unauthorized access by utilizing strong authentication. Requiring members to use something they know (user id and a secret pin code: in combination with something they have in their possession (the token which generates a one-time password to access the MLS.
Q: Is use of a SAFEMLS authentication device/token required?
A: Yes, anyone who accesses the MLS computer will be required to have either a TOKEN or SUPRA device enabled to login to the MLS system. A TOKEN is small device that will be provided to you by the MLS and will generate the one time password for you to login.
Q: What are my choices for a token?
A: NEFMLS will offer three options for secure access. • Option 1: Use of small lightweight hardware TOKEN. • Option 2: Use your GE/Supra eKey or DisplayKey . • Option 3: TEXT-pass.
Q: Can I utilize a PDA not used in conjunction with GE/GE Supra keys?
A: Currently the system is only supporting the solution on GE enabled devices. The only other option would be the “text messaging” based solution that could work for other PDAS, i.e. Blackberry.
Q: Can I have more than one type of token?
A: No, members may select only one option – the TOKEN, the SUPRA lockbox options, or TEXT-pass.
Q: How much will the “hardware token” cost me?
A: There will be no cost to existing members for the TOKEN or the SUPRA devices during our distribution period. For information on costs after the distribution period see page 2.
Q: How will I get my token?
A: You will be assigned a date and time to attend a 1 hour session (approximately) for a security briefing and to receive your device.
Q: Do I have to pick up my token in person or can I send someone else to pick it up?
A: All system users (members and administrative users: must attend a session in person to pick up their TOKEN or to register their GE/SUPRA key as the token device. Please bring your photo ID to the deployment location when announced.
Q: Do I have to use the token each time I log into the MLS system?
A: Yes, you will need your TOKEN, lockbox key authenticator, or TEXT-pass device each time you login.
Q: Does this change my ability to access the lockboxes?
A: No. If you choose to obtain passwords on your GE/SUPRA device, you will access lockboxes normally. You will simply have an additional option on your device enabling it to display a password to you. If you choose the Token for MLS access, you will still use your Supra device for lockboxes as usual.
Q: If I start out with the token, can I upgrade to use of my lockbox key later?
A: Yes, if you decide later that you would prefer to use your lockbox key, you can contact NEFMLS for instructions on how to return your token and get the necessary activation software and codes to use your key. Fees may apply see Device Options.
Q: Will there be a cost for broker/agent staff users to have a token?
A: There is a one time fee for any Administrative Access which includes the cost of the TOKEN. These fees will be billed directly to the Broker/Agent on a semi annual basis. The employer Broker/Member/Appraiser shall be required to acknowledge personal responsibility for the actions of the user, i.e. assistant
Q: What if I lose or break my token?
A: Members will be able to request a temporary password if the token is broken or lost. Replacement tokens will be available through NEFMLS for a fee of $50.00. All tokens are under warranty for normal use. If a token fails to work, you may request a temporary password. Defective tokens will be replaced at no cost to the user.
Q: How do I get a temporary password if my token is broken, defective or lost?
A: There will be a link on the log-in page of FlexMLS for reporting a token problem. You will validate that you are authorized through a series of security questions you answered during the token enrollment and then be given a temporary password. The system will simultaneously deactivate your hardware or the lockbox SAFEMLS portion of your token.
